About the Role
One of our partnered immigration firm is seeking a detail-oriented Documentation Officer to support our immigration consultants in preparing, organizing, and tracking client files. You will be the person who makes sure every application package is complete, accurate, and submitted on time. This role is ideal for someone who is organized, comfortable working with forms and deadlines, and interested in building a career in Canadian immigration services.
Responsibilities
Collect, review, and organize client documents for study permits, work permits, permanent residence, visitor visas, and citizenship applications
Verify that all documents meet IRCC requirements before submission
Prepare document checklists and follow up with clients on missing or expiring items
Enter and update client information in the case management system
Draft cover letters, forms, and supporting documents under the guidance of an RCIC
Track application timelines, biometrics appointments, medical exams, and IRCC correspondence
Maintain organized digital and physical files in line with confidentiality standards
Communicate with clients by phone, email, and in person to provide status updates
Requirements
Diploma or degree in business administration, office administration, or a related field
1 to 2 years of administrative or document processing experience; immigration experience is an asset
Strong attention to detail and the ability to spot errors in forms and supporting documents
Proficiency with Microsoft Office, Google Workspace, and PDF tools
Excellent written and verbal communication in English; Nepali, Hindi, or Punjabi is an asset
Ability to manage multiple files and deadlines at once
Familiarity with IRCC portals and application types is preferred
